Compensatory offs (admin)

A compensatory off ("comp off") is time off an employee earns by working extra. The Compensatory Offs screen lets you review those requests, approve or reject them, and see who has comp-off days available. Open Leave Management → Compensatory Offs from the left menu.

  1. Leave Management — Open the Leave Management group in the menu.
  2. Compensatory Offs — Then choose Compensatory Offs.

Steps

  1. Open Leave Management → Compensatory Offs.
  2. Use the filters above the table to narrow the list:
    • Status — Pending, Approved, Rejected, or All Statuses.
    • Employee — pick one person, or leave it on All Employees.
    • Usage Status — Available, Used, Expired, or All Usage.
    • From Date / To Date — limit by the date the extra work was done.
  3. Use the Search compensatory offs... box to find requests.
  4. To act on a Pending request, click the approve (check) or reject (X) button in the Actions column, or open the request first with the eye icon.
  5. To approve: optionally add Notes (optional), then click Approve.
  6. To reject: enter a Reason (required), then click Reject.
  7. The trash icon deletes a request (with a confirmation).

What you'll see

  • Statistics cards at the top: Total Earned, Available, Used, Expired, and Pending.
  • A Comp-Off Earned Per Month (Last 12 Months) bar chart.
  • The table, with columns: ID, Employee, Worked Date, Hours, Days, Expiry Date, Status (Pending / Approved / Rejected), Usage (Available / Used / Expired, or "-"), and Actions.

Opening one request

The eye icon opens Compensatory Off # with: a Request Details card (status and usage badges, Worked Date, Hours Worked, Comp Off Days, Expiry Date, Reason, and a "used on" note if it's already been used for a leave request); a Timeline card (created, approved/rejected); and an Employee card. Approve, Reject, Edit, and Delete buttons appear at the top depending on status and your permissions.

Creating or editing a comp-off request

The Request Compensatory Off form (and the edit form) capture the Worked Date, Hours Worked, an auto-calculated Comp Off Days (every 4 hours = 0.5 day), and a Reason. These are normally used by employees from self-service; admins with the right permission can also edit a pending request from its detail page.

Tips

  • Only Pending comp-off requests can be approved or rejected.
  • An approved comp-off has an expiry date; once it's past, its usage status shows Expired.
