Leave balance management

The Balance Management screen shows every employee's current leave balance for each leave type, and is the starting point for setting, adjusting, importing, and reporting on balances. Open Leave Management → Balance Management from the left menu.

  1. Leave Management — Open the Leave Management group in the menu.
  2. Balance Management — Then choose Balance Management.

Steps

  1. Open Leave Management → Balance Management.
  2. Use the Search employees... box to find someone by name or employee code.
  3. Click the eye icon on a row to open that employee's balance detail page.
  4. If your role can manage balances, use the Actions menu at the top right for Download Sample Template, Import Balances, Bulk Set Initial Balance, and View Summary Report — see Bulk importing leave balances and Setting and adjusting leave balances.

What you'll see

The list

Each row is one employee, with columns: Emp Code, Employee, Designation, then one column per leave type showing the current available days for that type (green when above zero), and an Actions column with the eye icon.

An employee's balance page

Opening a row shows:

  • Summary cards — Total Entitled, Used, Available, and LOP Days (loss-of-pay days) for the year.
  • Leave balance cards — one card per leave type with a used/total progress bar and a breakdown of Entitled, Carried Forward, Additional, and Available, plus a LOP note if any. Each card has a Set Initial or Adjust button depending on whether a balance has been set yet and your permissions.
  • Detailed Breakdown table — the same numbers in a table: Leave Type, Entitled, Carried Forward, Additional, Total, Used, Available, LOP, and an Actions column.
  • Recent Adjustments — a log of recent manual changes, each showing the leave type, whether days were added or deducted, the reason, who made the change, the before/after balance, and the date.

Summary report

The View Summary Report option opens an organization-wide overview: Total Entitled, Total Used, Total Available, and Total Pending cards; one card per leave type with a used/total bar and Entitled / Used / Available / Pending figures; and a Summary by Leave Type table that also shows a usage-rate badge for each type.

Tips

  • "LOP" stands for loss of pay — days an employee took beyond their available balance.
