Roles & permissions

Creating and editing a role

Roles are added and changed from the Roles & Permissions screen (in the left menu, under Settings). Creating or editing a role opens a full-page form.

  1. Roles & Permissions — Open Roles & Permissions from the menu.

  2. Add Role — Click Add Role to open the create page.

  3. Role Name — Required. The name of the new role.

  4. Permissions — Tick the permissions this role should have — use Select All or Select None to bulk-toggle.

  5. Create Role — Save the role. It appears on Roles & Permissions.

  6. Edit — On Roles & Permissions, click the pencil button on the role’s card to open Edit Role.

Adding a role

  1. Open Roles & Permissions from the left menu.
  2. Click Add Role.
  3. On the Create Role page, enter a Role Name (required).
  4. Set the role's access switches as needed:
    • Multiple Check-in
    • Mobile App Access
    • Web App Access
    • Location Tracking
    • Self Service Access
  5. Under Permissions, tick the permissions this role should have. You can:
    • Use the Search permissions... box to find a permission.
    • Tick a group heading to select or clear that whole group.
    • Use Select All or Deselect All.
  6. Click Create Role.

Editing a role

  1. On Roles & Permissions, click the pencil button on the role's card.
  2. On the Edit Role page, change the Role Name, the access switches, or the ticked permissions.
  3. Click Update Role.

For quick permission tweaks you can also expand the role card on the Roles & Permissions list and tick permissions there, without opening the edit page.

Deleting a role

  1. On Roles & Permissions, click the trash button on the role's card. (Built-in roles don't have this button.)
  2. Confirm in the Delete Role dialog.

A role can only be deleted if no users are assigned to it — if users are still on it, the dialog tells you to reassign them first.

Assigning a role to an employee

You don't assign roles from this screen. A person's role is set on their employee record:

  • When you add an employee, pick a Role in the add-employee form (it's required).
  • For an existing employee, open their profile and change the Role in the work information section.

Notes

  • Super Admin always has every permission; ticking or unticking permissions for it has no effect, and the edit page says so.
  • The access switches (mobile, web, self-service, etc.) control which parts of Open Core HR people with the role can use.
