Creating an offer letter

Create an offer to propose a role to a candidate, then send it to them. You can keep editing an offer while it's a draft or until the candidate accepts it.

  1. Employee Lifecycle — Open the Employee Lifecycle group in the menu.

  2. Offers — Then choose Offers.

  3. Create Offer — Click Create Offer at the top right.

  4. First Name — The candidate’s first name.

  5. Last Name — The candidate’s last name.

  6. Email — The candidate’s email — used to send the offer.

  7. Phone — A 10-digit phone number.

  8. Designation — Pick the role. The Department fills in automatically from the designation.

  9. Create — Save the offer — it appears in the list as a Draft ready to send.

Availability

The Employee Lifecycle area may not be turned on for your company yet. If you don't see it in your menu, it isn't enabled — check with your HR or IT team.

Steps

  1. In the left menu, open Employee Lifecycle and choose Offers.
  2. Click Create Offer. A panel slides in from the right.
  3. Fill in the details:
    • First Name and Last Name — the candidate's name.
    • Email — the candidate's email address.
    • Phone — a 10-digit phone number.
    • Designation — pick the role. The Department is filled in automatically from the designation.
    • Location — the work location.
    • Salary — the offered salary amount.
    • Joining Date — the proposed start date.
    • Probation (months) — optional probation length.
    • Notice Period (months) — optional notice period.
    • Notes — optional internal notes.
  4. Click Create. The offer is saved as a Draft.

Sending the offer

  1. Back on the Offers list, find the draft offer.
  2. Click the Send action and confirm. The candidate is notified and the offer moves to Sent.
  3. If you need to send it again later, use Resend.

Editing or revoking

  • While an offer is Draft or Sent, use the Edit action to update its details.
  • Use the Revoke action to withdraw a Draft or Sent offer. This can't be undone.

Tips

  • A designation with no department mapped can't be used for an offer — set the department on that designation first.
