Final settlements
The Settlements screen lists the full and final settlements for separating employees. A settlement adds up everything still owed to the employee (pending salary, leave encashment, bonus, gratuity and other earnings) less any deductions (loans, advances and other deductions), giving a net amount to pay out.
Availability
The Employee Lifecycle area may not be turned on for your company yet. If you don't see it in your menu, it isn't enabled — check with your HR or IT team.
Steps
- In the left menu, open Employee Lifecycle and choose Settlements.
- Use the search box to find a settlement.
- Click the eye button in the Actions column to open the Settlement Details panel with the full breakdown.
- For a draft settlement, click the send button to submit it for approval; for an approved one, click the mark-paid button once it's been paid.
What you'll see
Each row shows:
- Employee — the employee's name, photo and code.
- Pending Salary, Leave Encashment, Bonus, Loan Deduction — the main line items.
- Net Amount — the final amount payable.
- Status — see below.
- Due Date — when the settlement is due.
- Actions — view, submit for approval, mark paid.
The details panel breaks the figures into Earnings (pending salary, leave encashment, bonus, gratuity, other earnings) and Deductions (loan deduction, advance deduction, other deductions), with the Net Amount, status, due date and any notes.
Statuses
- Draft — created but not yet submitted.
- Pending Clearance — waiting on no-dues clearances.
- Pending Approval — submitted and waiting on approvers.
- Approved — approved, ready to be paid.
- Paid — the settlement has been paid out.
