Automatic Microsoft 365 accounts
When your company has Microsoft 365 auto-provisioning turned on, adding a new employee in Open Core HR also creates their Microsoft 365 work account automatically — there's nothing extra to click on the new joiner's form.
- Microsoft 365 — Open Microsoft 365 from the menu.
Your account needs administrator access to add employees and see Microsoft 365 details.
What happens when you add an employee
- On the Add Employee form, fill in the employee's details as usual, including first and last name.
- As you type the name, a Microsoft 365 Account box appears showing the work email address that will be created (and whether it's available). A note says a Microsoft 365 account will be created with an Office 365 licence when the employee is saved.
- Save the employee. In the background, Open Core HR creates the Microsoft 365 account: a sign-in (mailbox) and an assigned licence.
The work email address is built from the employee's name using your company's chosen pattern and email domain — for example first.last@yourcompany.com. The exact pattern and domain are set in your company's Microsoft 365 configuration.
Where to find the new joiner's first login details
Once the account is created, open the employee's profile and go to the Microsoft 365 tab. There you'll see the Sign-in Email (UPN) and can reveal the initial password to share with the new joiner. See Looking up an employee's work-account details. The employee is required to change this password the first time they sign in to Microsoft 365.
What you'll see
You can review the overall state of Microsoft 365 accounts on the Microsoft 365 screen in the menu — see The provisioning overview.
