Approval inbox

The approval inbox is your single queue for everything waiting on your decision — leave requests, expense claims, loans, warnings, promotions, separations, and other requests the system has routed to you. It only shows the items that are currently your turn to act on.

  1. Approvals — Open the Approvals group in the menu.
  2. Inbox — Then choose Inbox.

Steps

  1. Open Approvals → Inbox from the left menu.
  2. The page is titled Pending Approvals and lists the requests awaiting your action.
  3. Use the Search approvals... box to narrow the list, and the column headers to sort.
  4. Open a request with the view (eye) button in the Actions column, then approve or reject it — see Approving and rejecting a request.

What you'll see

Each row is one pending step of a request:

  • Workflow — the approval flow the request is going through (for example, "Leave Approval").
  • Step — the name of the step that's yours to act on. If the flow has more than one level, a small badge shows the progress, like "1/2", so you know another level may follow.
  • Subject — a short summary of the request, when one is available.
  • Requested By — the employee who raised the request.
  • Request Type — what kind of request it is (Leave Request, Expense Request, Loan, Warning, Promotion, Separation, and so on).
  • Assigned To — the approver line-up. Each level (L1, L2, …) is listed with the person assigned; the level that's currently active is highlighted and marked "This row". Levels that have already approved, rejected, or been skipped appear dimmed.
  • Request Date — when the request was submitted.
  • Actions — buttons to view the request, approve it, or reject it.

Finding a request

The Search approvals... box above the table filters by requester name or code, workflow name, step name, or request type. You can also sort by the Workflow and Request Date columns.

Tips

  • A request only appears once it reaches your level. Earlier levels finish first, then the request shows up in your inbox.
  • After you approve a multi-level request, the next level's reviewer sees it in their inbox. If you also happen to be the next approver, the row reappears for you when the list refreshes.
  • The view (eye) button is only shown for request types that have a detail page in Open Core HR. For other types, decide from the information shown in the row.
