Creating and editing a role
Roles are added and changed from the Roles & Permissions screen (in the left menu, under Settings). Creating or editing a role opens a full-page form.

Roles & Permissions — Open Roles & Permissions from the menu.

Add Role — Click Add Role to open the create page.

Role Name — Required. The name of the new role.

Permissions — Tick the permissions this role should have — use Select All or Select None to bulk-toggle.

Create Role — Save the role. It appears on Roles & Permissions.

Edit — On Roles & Permissions, click the pencil button on the role’s card to open Edit Role.
Adding a role
- Open Roles & Permissions from the left menu.
- Click Add Role.
- On the Create Role page, enter a Role Name (required).
- Set the role's access switches as needed:
- Multiple Check-in
- Mobile App Access
- Web App Access
- Location Tracking
- Self Service Access
- Under Permissions, tick the permissions this role should have. You can:
- Use the Search permissions... box to find a permission.
- Tick a group heading to select or clear that whole group.
- Use Select All or Deselect All.
- Click Create Role.
Editing a role
- On Roles & Permissions, click the pencil button on the role's card.
- On the Edit Role page, change the Role Name, the access switches, or the ticked permissions.
- Click Update Role.
For quick permission tweaks you can also expand the role card on the Roles & Permissions list and tick permissions there, without opening the edit page.
Deleting a role
- On Roles & Permissions, click the trash button on the role's card. (Built-in roles don't have this button.)
- Confirm in the Delete Role dialog.
A role can only be deleted if no users are assigned to it — if users are still on it, the dialog tells you to reassign them first.
Assigning a role to an employee
You don't assign roles from this screen. A person's role is set on their employee record:
- When you add an employee, pick a Role in the add-employee form (it's required).
- For an existing employee, open their profile and change the Role in the work information section.
Notes
- Super Admin always has every permission; ticking or unticking permissions for it has no effect, and the edit page says so.
- The access switches (mobile, web, self-service, etc.) control which parts of Open Core HR people with the role can use.
