Assigning a policy to employees

Assigning a policy gives the selected employees a record to acknowledge it. You can assign it to specific people or to everyone. Only published (Active) policies can be assigned.

  1. HR Policies — Open the HR Policies group in the menu.

  2. All Policies — Then choose All Policies.

  3. View — Open the policy by clicking the eye icon in the Actions column.

  4. Assign Policy — Click Assign Policy at the top right — the panel slides in.

  5. Audience — Pick who gets the policy — turn on Send to All for every active employee, or off to pick specific employees.

  6. Assignment Note — (Optional) A note shown to the assigned employees.

  7. Assign — Save — the policy is assigned. Employees see it in their HR Policies list and are asked to acknowledge it.

Steps

  1. In the left menu, choose HR Policies > All Policies.
  2. Open the policy by clicking the eye icon in the Actions column.
  3. Click Assign Policy at the top right. The Assign Policy panel slides in from the right.
  4. Choose who gets the policy:
    • Tick Send to All Employees to assign it to every active employee, or
    • Leave that unticked and pick people one at a time: click Add Employee, choose an employee from the picker, and repeat. Use Remove to drop a row.
  5. Optionally add an Assignment Note for the employees.
  6. Click Assign.

What happens next

  • Each selected employee gets an acknowledgment record for the current version of the policy, set to Pending.
  • If the policy has an acknowledgment deadline, it is applied from the assignment date.
  • Anyone already assigned the current version is skipped, so re-running the assignment won't create duplicates.
  • The acknowledgment summary on the policy details page updates with the new totals.

Tips

Troubleshooting

  • No "Assign Policy" button, or assigning fails — the policy must be Active (published). A draft, pending, rejected or archived policy can't be assigned. Get it approved first.
  • Assignment targets either everyone or named individuals. There are no role, department or location filters, and no per-assignment deadline — the policy's own acknowledgment deadline applies.
