Pausing and restoring an employee's access
When you change an employee's status, Open Core HR keeps their Microsoft 365 work account in step. Suspending or deactivating an employee disables their work account; moving them back to active switches it on again.
- Employees — Open the Employees group in the menu.
- Active — Then choose Active.
Your account needs administrator access (the permission to edit employees) to change an employee's status.
Suspending an employee (temporary)
- Open the employee's profile.
- Select Actions, then Suspend ("Disable access temporarily. M365 account disabled, license retained.").
- Confirm. Their Microsoft 365 account is disabled, but the licence is kept so it can be switched back on quickly.
The employee then shows on the Disabled tab of the Microsoft 365 screen.
Restoring an employee
- Open the employee's profile.
- Select Actions, then Reactivate ("Restore full access to all platforms").
- Confirm. Their disabled Microsoft 365 account is re-enabled.
If the employee's Microsoft 365 account was already deleted (for example after the grace period for a leaver), reactivating them creates a fresh account instead, as long as company-wide auto-provisioning is on.
Notes
- Terminate and Relieve also disable the Microsoft 365 account, but those are permanent — the account is deleted after the grace period. See When an employee leaves.
- If the employee manages other people, you'll be asked to acknowledge that their direct reports will be left without a manager before the status change goes through.
- You can't change your own status.
