The employee profile
The Employee Profile screen brings together everything Open Core HR holds about one person. This page is an overview; the sections below link to detailed how-tos.
- Employees — Open the Employees group in the menu.
- Active — Then choose Active.
Opening a profile
From the Human Resources section of the menu, open Employees → Active (or any status list), then click an employee's name. You can also use the eye icon in the Actions column.
The header
At the top you'll see the employee's photo, name, a status badge (Active, Onboarding, Suspended, Relieved, or Terminated), and — if they have a Microsoft 365 mailbox — an M365 marker. Below that are their designation, department, code, email, phone, and location. An Actions menu lets you reactivate, suspend, relieve, terminate, or delete the employee (the options shown depend on the current status and your permissions). If you can edit, clicking the photo lets you change it.
Tabs
- Overview — Work Information (department, designation, shift, location, reporting manager, date of joining), Contact Information (email, phone, alternate phone, date of birth, gender, address), Compensation (gross salary), and HR Locations (extra work locations, if any).
- Personal — Personal Details (parents' names, marital status, spouse, blood group, qualification, personal email, anniversary date, previous and total experience, current and permanent address) and Emergency Contact.
- Leaves — Leave Balance cards for the current year, showing entitled, used, available, carried-forward and additional days, plus any loss-of-pay (LOP) days.
- Documents — the employee's documents, one row per document type, with options to upload, view, and download.
- Bank — Bank Account Details.
- Device — the mobile Registered Device the employee uses, with battery, GPS, Wi-Fi, location, and a Remove Device option.
- Microsoft 365 — shown only when the employee has a mailbox; covers the sign-in email, when it was provisioned, and password management.
- Activity — a timeline of changes made to the employee record.
Editing
Most sections on the Overview, Personal, and Bank tabs have an edit (pencil) button that opens a slide-over panel where you make changes and click Update. Editing options appear only if you have permission.
