Closing a loan

Closing a loan marks it as completed — for example when the employee has settled the balance another way, or the remaining amount is being written off. A loan also closes automatically once it is fully repaid.

  1. Loan Management — Open the Loan Management group in the menu.

  2. All Loans — Then choose All Loans.

  3. View — Find an Active loan and click the eye icon in the Actions column.

  4. Mark as Complete — In the Loan Details panel, click Mark as Complete.

  5. Final Remark — Required. Explain why the loan is being closed (settled, written off, etc.).

  6. Confirm Close — The loan moves to Closed and the outstanding amount is cleared.

Steps

  1. In the left menu, choose Loan Management > All Loans.
  2. Find the loan — it must be Active — and click the eye icon in the Actions column.
  3. In the Loan Details panel, click Mark as Complete.
  4. In the Close Loan dialog, type a Final Remark explaining why the loan is being closed (for example, settled by the employee, or written off). This is required.
  5. Click Confirm Close.

What happens next

  • The loan's status changes to Completed.
  • Your final remark is added to the loan's notes.
  • The employee and the relevant administrators are notified.
  • The change cannot be undone.

Tips

  • You don't need to close a loan that has been fully repaid — it closes on its own once the last instalment is recorded.
  • Closing is only available for Active loans. A loan that is still Pending can instead be cancelled before approval finishes.
