Roles and permissions

The Roles & Permissions screen lists every role in the workspace and lets you see — and change — exactly what each role can do. Open it from Roles & Permissions in the left menu, under the Settings heading.

What you'll see

A list of role cards. Each card shows:

  • The role name.
  • A Built-in badge for roles that ship with Open Core HR (these can't be deleted).
  • An All Permissions badge on the Super Admin role.
  • How many users have the role, and how many permissions it has.
  • A pencil button to open the full edit screen, and (for non-built-in roles) a trash button to delete it.

Click a role card to expand it and see its permissions, grouped by feature (for example, Employees, Attendance, Leave). Each group has a count like 3/8 showing how many permissions in that group are turned on.

Changing what a role can do

On an expanded role card:

  1. Click Roles & Permissions in the left menu.
  2. Click the role to expand it.
  3. Tick or untick individual permissions, or tick a group's checkbox to turn all of its permissions on or off.
  4. Changes save automatically — a Saving... badge appears on the role while it saves, and a message confirms when it's done.

For larger changes (including renaming the role and its app-access switches), use the pencil button to open the full edit screen — see Creating and editing a role.

Notes

  • Super Admin always has every permission. Its permissions can't be changed — the expanded card says so.
  • Whether you can add, edit, delete roles, or change their permissions depends on your own role.
  • To delete a role, it must have no users assigned. If it does, the confirmation dialog tells you to reassign those users first.
