HR & Admin Guide

This guide is for HR staff, managers, and administrators who run the workspace side of Open Core HR: the screens where you manage people, attendance, leave, approvals, and company settings. If you only use Open Core HR for your own self-service tasks, see the Self-Service guide instead.

Finding your way around

Screens are grouped in the left menu under headings:

  • Dashboard — at-a-glance overviews and the compliance dashboard.
  • Human Resources — Employees, Attendance, and Leave Management.
  • Workforce Management — Approvals, Asset Management, Loan Management, Disciplinary Actions, and HR Policies.
  • Operations — Expenses and Announcements.
  • Settings — Company Details, Organization Hierarchy, Master Data, Roles & Permissions, Audit Logs, and (for super admins) Organization Apps, External API Clients, and Microsoft 365.

What this guide covers

  • Employees — the employee directory, adding people, status changes, and the employee profile.
  • Attendance & tracking — attendance records, sessions, corrections, and analytics.
  • Leave & time off — leave requests, compensatory offs, leave types, and balance management.
  • Approvals — the approval inbox and workflows.
  • Disciplinary actions — warnings and related records.
  • HR policies — policies, categories, assignments, and acknowledgments.
  • Employee lifecycle — offers, appointments, probations, and related letters.
  • Assets — asset records, categories, and assignments.
  • Loans — loans, repayments, security deposits, and loan reports.
  • Operations — expense claims and announcements.
  • Organization & master data — company details, the org hierarchy, departments, designations, locations, shifts, holidays, expense types and policies, and document types.
  • System administration — roles and permissions, audit logs, and organization apps.
  • Microsoft 365 — the connection between Open Core HR accounts and Microsoft 365 mailboxes.

Note

You only see the menu items your role gives you access to. If a screen described in this guide isn't in your menu, you don't have permission for it — ask an administrator.
