Bulk uploading assets
If you have many assets to add at once, upload them from a spreadsheet instead of adding them one by one. You can import up to 170 assets per file.
-
Asset Management — Open the Asset Management group in the menu.
-
All Assets — Then choose All Assets.
-
Bulk Upload — Click Bulk Upload at the top right of the list.
-
Download Template — Click Download Template — a spreadsheet with the required columns downloads.
-
Choose a file — Pick the CSV or XLSX you filled in (up to 170 rows).
-
Upload — Import the file. The result panel shows how many rows imported and lists any errors.
Steps
- In the left menu, open Asset Management → All Assets.
- Click Bulk Upload at the top right. A panel slides in from the right.
- Under Step 1 — Download the template, click Download Template. This downloads a spreadsheet with the columns you need to fill in.
- Open the template and add one row per asset. The columns are: name, category, serial_number, asset_tag, brand, model, status, condition, purchase_date, purchase_price, warranty_expiry, and notes.
- name and category are required on every row.
- category must exactly match the name of an existing asset category.
- Dates use the format YYYY-MM-DD (for example, 2025-04-01).
- status must be one of the allowed asset statuses, and condition one of: new, good, fair, poor, damaged.
- Save the file as CSV or XLSX.
- Back in the panel, under Step 2 — Choose a file, click the file picker and select your file. The selected file name appears below it.
- Click Upload.
- Review the result message. It shows how many rows were imported. If any rows failed, an Errors table lists each row number and what went wrong — fix those rows in your file and upload again.
- Click Close when you're done.
Tips
- The template includes one example row so you can see the expected format for dates, prices, and the status and condition values.
- Accessories are not part of bulk upload. Add them from each asset's details page after the import — see An asset's details.
- Rows that import successfully are added even if other rows in the same file fail, so you only need to re-upload the rows you fixed.
Troubleshooting
- "Category '...' not found" — the category name in that row doesn't match any existing category. Create the category first (see Asset categories) or correct the spelling.
- A date or price error — make sure dates are written as YYYY-MM-DD and prices are plain numbers (for example, 85000.00).
- "Maximum 170 rows allowed" — split your data into smaller files and upload them one at a time.
