Task board
The Tasks screen is your organisation-wide view of every task: who created it, who it is assigned to, its priority, status, and due date. From here you can create and assign new tasks and open any task to see its full history.
- Tasks — Open Tasks from the menu.
Steps
- In the left menu, click Tasks.
- Review the summary cards at the top: Total Tasks, New Tasks, In Progress, Completed, Overdue, and Due Today.
- Scroll down to the Filters section and narrow the list by Status, Priority, Assigned To, Created By, Due Date From, and Due Date To. Tick Show Overdue Only to see just overdue tasks, then click Apply Filters. Click Clear Filters to reset.
- In the Task List, switch between table view and grid view using the layout buttons in the top corner.
- Click View on any task to open its details.
- Click Refresh to reload the page with the latest data.
Creating and assigning a task
- Click Create Task at the top of the screen. A panel slides in from the right.
- Fill in Task Name.
- Choose the person under Assign To.
- Set the Due Date and, optionally, a Due Time.
- Choose a Priority - Low, Medium, or High.
- Optionally set Recurring to Daily, Weekly, or Monthly. If you do, a Recurring End Date is required.
- Add Notes if needed.
- Click Create Task.
Opening task details
The details page shows the task name, status, priority, who it is assigned to, who created it, the description, important dates (created, due, last updated), a completion progress indicator, and a Task Timeline of every update - starts, holds, resumes, completions, and any text, image, file, link, or chat updates. Use Print to print the page.
What you'll see
- The charts under the summary cards: Status Distribution and Priority Distribution.
- Top Task Assigners and Most Assigned Users lists.
- In the table view, columns for Task #, Name, Assigned To, Created By, Priority, Status, Due Date, Progress, and Actions. Overdue tasks show how many days they are overdue; tasks due today are flagged.
Tips
- Progress is shown as a percentage based on status - for example New is 10%, In Progress is 50%, and Completed is 100%. It is not entered manually.
